New Timetable Scripts - Find Errors [2023-12-07]
There are new student timetable scripts to find any enrolled courses without a timetable (which would then mess up course attendance). This is called 'Missing'. The second script called 'Collision' finds timetable errors where a student is enrolled in more than one course in the same period. Again, this will affect course attendance since the student will be marked absent in one (or more) of the courses.
Export Page - SDS scripts gone [2023-12-01]
Since we are all now in MSS/Aspen, the Sask Ed scripts on the bottom of the export page are not working anymore, and I've removed the links on the export page.
Missing Course Enrollments - Report [2023-11-21]
There is a new script to check for missing course enrollments by grade,term. It is located on the report card page in the course enrollments section.
ONLY 2 WEEKS LEFT! [2023-11-20]
There are only 2 weeks before schools are moved into MSS (MySchoolSask aka Aspen) on Dec 1. After that the export page scripts to update your SDS data (student enrollment, demographics, courses, marks) will no longer work. All updates will have to be made inside MSS. Mass Enrol - Feeder Schools [2023-08-22]

Team Teaching - Attendance [2022-11-21]
There is now a 'teacher2' when doing course masters add/edit. The teacher2 is also able to do attendance for a course as well as the main teacher for the course. This will allow team teaching attendance to be done.
School Pictures [2022-11-19]
The student edit/view buttons will now display student pictures, if present (as would the report cards previously). I have rewritten all student pictures scripts on the EOY page, and there is a new report (both on teacher site and admin sites) in PDF format for printing of a grade or homeroom of students which could be useful with substitute teachers.
Attendance Configuration [2022-11-03]
There is a new configuration button on the attendance page for setting attendance values.
Monthly Attendance Report 1 [2022-11-02]
The monthly attendance report 1 is now updated so it will skip any "courses" that are simply used for other purposes and don't contribute to attendance accuracy. The new variable in the configuration system for attendance is called g_AttendanceSkip and any course codes added to it will be skipped by that single report, monthly attendance report 1. (rptattmonth.pl).
Check Graduation Requirements [2022-10-31]
The script to check grad requirements has now been added to the teacher page. It was previously only on the admin site.

Preparation for Next Year.... NOT [2022-06-21]
Hi Everyone, Remember that you shouldn't do anything in preparation for the next school year, since we copy all your database in mid July so you can look back at what happened in previous years. It you "clean up", then you can't find out what happened last year, since it's erased. Wait until August to do any updates to staff, students, etc. -- Les
Birthdate Enrollment change [2022-06-20]
The student birthdate, like all other dates in Open Admin, must now be entered in YYYY-MM-DD format. Some folks were using invalid dates and date formats, which produced zero birthdates. The script now does checking to make sure the dates are legal. Let me know if any problems with this.
Staff Leave/Pay updated [2022-05-13]
Most of the Staff Leave/Pay scripts are now updated (from 2019 versions) along with new summary report.
Reading Progress Report 2 updated [2022-05-10]
I've added date selections to the progress report and this gives additional information about student reading progress. Dates are selected rather than seasons and it will thus give all reading tests, even those outside of normal season dates.

All reading scripts are updated to fix the mixed DRA2/3 records found in some schools. The IEP main report is updated to fix issues around large amounts of text for outcomes and responsibilities where they were bleeding off the end of a page in PDF file.

Attendance Report 4 Update [2021-06-23]
The monthly attendance report 4 is now updated to show much more information in bottom 'Teacher Attendance Entry' row when you get a red 'Error (hover)' cell and you hover over the cell to see information. I'll also add admin tools to allow that to be fixed (by adding in the missing teacher info).
Reading System Updates DRA3/2 [2021-05-28]
I've rewritten most of the reading scripts, to allow schools to use either DRA2 or DRA3 for their reading system. I've also updated several of the reading system tables, and added new reference tables for both DRA2 and DRA3. Any problems, let me know.
Alias - Turning Around [2021-04-19]
Due to the difficulty of rewriting many, many scripts (I tried!), we are going to make the common name the student alias (since these are the fields that teachers/students want), and put the legal name into new legal name fields (now showing on student edit). These legal names will be used with nominal roll and SDS.
Student Alias Update [2021-04-09]
Two new student alias fields have been added (alias_lastname and alias_firstname) and are located in the student edit screen just below the student's name and middle initial/name. Any values in the 'name_knownas' field have been moved to these fields. The old name_knownas and alias fields have been removed. Reports will be updated to allow for the use of these fields rather than the student legal names. -- Les

Add Dates - fixed [2021-03-09]
A bug was fixed in Add Dates for partial day closures. Multiple periods for same grade weren't saved.
Discipline Report 2 - updated [2021-03-09]
This script is now fixed for the 'All' type which displays all discipline event categories and also details student discpline infractions, also.
New Discipline report [2021-02-25]
There is a new discipline report (Report #2) that shows results by infraction type, grade, or homeroom. Please let me know if you need more reports of any kind since we have more information about infractions by location, time, etc. -- Les
Family Report / Mailing Labels [2021-02-17]
The family report and 'family' mailing labels have been updated to support grouping by other fields than hphone1 (home phone 1). If students are staying at other houses, they can easily have their grouping be based on house number, where we use one of the 1-8 extra fields in the student records, as we have done at Chief Napew. The family mailing labels now support this, and also contain bus driver information for delivery. -- Les
Family Editing [2021-02-12]
I've updated the edit family script so you can group students by any field in his/her record. This will require a configuration update of the 'Family Group Link List' to add in the field(s) you want to use for grouping students (ie. by house# for example). As well, you can configure a family name for this group by setting a field to store this family name in 'FamilyGroupNameField' for at least one of the students in the group. Otherwise a 'joined' lastname like 'A/B/C' is used.

The view cycle days script is updated to handle the 'always day 1' case. (All timetables the same). The viewHomeroomsClosed script has the homerooms sorted, making it much easier to track large numbers of homerooms. There is also an option to turn off colors, if that makes it easier to view.
Updated Course codes [2020-11-11]
Current Sask Ed course codes are now updated and now include K-9 courses. Use 'View Course Codes' on report card page, Sask Ed section, bottom right.
Updates: Labels, add Date [2020-11-11]
Add Dates is updated to fix a bug when adding multiple days. The Labels generation script is updated to allow for homeroom teacher names, added to a new label file for fridge magnets, based on Avery 5163 (2x5) format.

Set Homeroom Closed - updated [2020-10-14]
If you're using Homerooms Closed for cohorting (ie. alternate groups of same grade students) and there is an unexpected day closed (that has homerooms/periods set closed for that date), I have a solution. I've added a delete function on the first page of the set Homeroom Closed script to delete all homeroom/periods closures for that date. Any issues, let me know. --Les
Student Roster Reports - Page Breaks [2020-10-02]
I've rewritten the student roster report script to include page breaks to allow you to split an HTML report when printing. It starts a new table when the value of the 'break' field changes. This table prints on a new page. The script has an updated start page as well.

More 'Extra' Fields (larger too!) [2020-09-04]
The extra fields in the student table (field1, field2, field3 unless renamed in meta) were limited to 255 characters. I've updated them to 64k characters, since folks need more room for info. These can be viewed as resizable text boxes (rather than just a single line of text) by changing their type from 'text' to 'textarea'. I've also added 3 more of these 'extra' fields for your use. Remember you can use these fields in student roster reports that you create with the template creator.
Adult 12 Program - Required Courses [2020-09-03]

The script to activate students is now updated to allow for activation by grade, due to timeouts when sending entire school populations for update. Activation is required since Sask Ed will 'unenrol' students every school year and activation is required to undo this process. In OA we do not enrol and withdraw students every school year. We assume that school enrollment continues year over year.

I've updated the subject attendance (when turned on) to show both periods absent and periods late, rather than converting periods late into fractional periods.... which confused parents (and perhaps teachers!) Thus no more 3.4 periods absent!
Report Card - Subject Attendance [2019-11-04]
Subject attendance (if turned on), now shows the periods absent and periods late, rather than converting lates into fractional periods absent (which confuses everyone!) There is a conversion value in report card configuration which sets, typically, 3 lates = 1 absence.

I've updated the NR generator ('Create File') to add the latest new field I found out about last Thursday at a conference call with INAC. This field is used to track students who graduated last year but are back in school upgrading their marks (aka Victory Lap). It is the last field in the entry form (updated last night (Wed,Oct 9)). Use reset to button to check any students that are 'upgraders'. I now also have access to the INAC test site for testing your files, so contact me if you want me to test out your nominal roll for errors, etc. --Les
Modified Courses - Graduation Checking [2019-10-02]

Birthday Report / Enrollment dates [2019-10-02]
I've updated the birthday report (runs on both admin and teacher sites) to display homerooms and grades for more flexibility. The enrollment script (when enrolling students in the school) now checks for weekend dates and school closed dates and disallows enrollments on those days. Both for new and returning students. Staff Add/Edit Updated [2019-07-31]
The Staff Add scripts are now removed, and replaced with a single script that does both add and edit and has a first nation mode (which we use) and another provincial school mode (without INAC fields). As a result there are several fewer scripts, and improved layout for editing. The configuration value g_InacSchool must be set to a nonzero value to work.
School Year Update [2019-07-30]

Preplan Course Master - update [2019-06-10]
I've added code to remove students (Grade 12) who are in an Adult Program (Program code 09) rather than regular program (code 10). I've also added Teacher Course Load views on page 3 (Set Teacher, Semester, Grade Offered, Backings) and Page 4 (Set Periods for Courses). Page 5 (View courses) shows the final values set and allows you to reset (Go to page 3) and also restart (go to page 1). Once you have the preplan course master set I will use it reset your grade 10-12 course master at end of July. I'm also exploring 'auto course enrol' to simplify the enrolling of students based on their course requirements. Any ideas or problems, let me know. -- Les

Nominal Roll [2019-03-19]
I've updated the nominal roll to support changes in the INAC data layout. There are now 2 enrollment types... normal Primary/Secondary enrollment, and a new Upgrading Courses enrollment. There are 3 new scripts for date management (View, Add, Edit/Delete) that now include periods closed as well as the fraction of the day closed. Indigenous Language Reports [2019-01-14]
Indigenous Language Report 1 is now added to the SSP page/tab of the admin site. It shows each student pre/post averages for each month. A similar report is available on both central site and consultant site.

Gradebook - name splitting between lines [2018-11-30]
The splitting of long student names in the gradebook has been supressed using new CSS command, rather than the older non-breaking space method. Most will notice no change. All schools updated. -- Les
Gradebook, sortorder Updated [2018-11-23]
All schools are now updated with the new gradebook code, and updated sortorder script (on maintenance menu of gradebook). This is used when new students enrol, and you have to add them to the bottom of your paper forms for recording marks. By altering the sortorder you can make the on-screen ordering match the paper form for easily entering mark raw scores (We never need percentages in gradebook).
Gradebook update [2018-11-21]
The gradebook is now out for some testing, and I'll update schools once we've had an initial test. I just want to avoid report card season for this update. It will not show students withdrawn from school, even though gradebook data exists. Any problems let me know. -- Les

Add Course Enrollments - Filter [2018-10-31]
I've added section filtering to the 3 course selection methods (grade, name, terms). Thus once you have all grade 10 courses (Select by Grade, enter 10), you can then further select only those with a section value of 3, etc. In fact, multiple methods can be used at the same time, if you wish.
Attendance - Change Courses [2018-10-31]
I've added a new script on the attendance page to allow you to change the attendance records when students are moved from one course to another. It simply resets the coursecode-section value in the records for the moved students. It has no effect on course enrollment.
Period Configuration (System) [2018-10-29]
I've updated the period setting script for the main OA system (as opposed to the teacher script for setting personal periods for teaching) to support up to 15 periods. It was not working correctly for more than 9 periods.

New Staff Timetable Report [2018-10-25]
This is a new report on the Timetable page/tab that outputs in HTML (ie. web page) format. It allows more customization of output and has embedded page breaks by teacher when printed. The script to set Period Times (start/end) is now linked on this page, as also found on EOY page.
School Enrol script updated [2018-10-25]
The school enrollment script (enrol on main page) is now updated and shows that a local student number (of a withdrawn student) may be used in the last name field to quickly add student back into the school. Please let me know if any issues, since I've changed a lot internally. -- Les

Please make sure you've sent all of your high school marks to Sask Ed, by July 6th. After that date I will be doing conversion to the next school year and current marks will be erased. They will be in the backups in the 2017-2018 school year of course. -- Les
New Daybook System [2018-06-13]
There is a new daybook system in place to allow teachers to set their own period times, their own activities and then timetable for both courses and activities. Once these are set, they are used by the new daybook software to do course planning and presentation. Documentation and Planning Tool to follow. -- Les
Kindergarten Registration [2018-06-12]
You can easily preregister K/PK students in OA by selecting preregistration as the option during enrollment. This puts the student data into a separate table from which they are moved in August to the normal student table. Thus we won't change the student table in June which is used for the 2017-2018 previous year database. (as the previous entry notes). -- Les
REMINDER: Year End... Wait till August! [2018-06-04]
Make sure you DON'T start changing things for next year in June. WAIT UNTIL AUGUST. I do the "Previous Year" databases in July so that you'll have a 2017-2018 database to look back at in future years. If you make changes now you won't be able look back to this 2017-2018 year and see the correct data for this school year. You have been warned! (grin) -- Les

There is a new button on the EOY page to allow you to set the start and end times for periods for the grades with subject based attendance. This will allow us to give you better reports. For the other grades (homeroom based attendance), I will add scripts (buttons) to allow teachers to set their own times and also subjects/activities that will then integrate with the daybook. New! Attendance Scan 2 [2018-04-12]
I've added a new attendance scan script on the bottom left of the attendance page. It will ask for a % attendance cutoff, and will then display all students with average attendance below that figure. They are sorted by average attendance, and it also displays the monthly attendance for all of those students as well. There is a also another table that displays average attendance for each grade and the numbers that are over the attendance cutoff (and thus not displayed). LLI Progress/Edit Withdraw [2018-03-29]
The LLI progress report is updated to allow for multiple group selections at one time (and viewing on the second page). Also, I've added options for indicating reasons why students who are no longer in the program.

Sask Ed Course Codes - New Viewer [2018-02-14]
I have added a new Sask Ed Course Code viewer so that you can find a course code that you need. Any courses without an end date are active. Any locally developed courses (as indicated), would have to be reported on the Form 2 to Sask Ed, along with your other normal courses. This new button is on the report card page, bottom right in Sask Ed Courses section. --Les
SDS Course Query / Reading Level 40K fixed [2018-02-08]
I've updated the SDS course enrollment query script to add sorting for both registered and unregistered courses. Reading level 40K is now fixed to allow additions of reading tests for that level. There was an error in the database for that reading level. --Les

The high school Sask Ed (Student Data System - SDS) scripts for course enrollments, and mark submissions are updated. The checking button for course enrollment is also updated. Teacher Attendance PK/K Non-School Days [2018-01-05]

SDS Sending Marks [2017-12-12]
The SDS script to send in marks is updated to disallow any marks that contain any alphabetical characters (A-Z). It will also strip any % sign trailing the mark as well as any spaces.
K/PK Non School Day system [2017-12-01]
There is now a new Non-School Day (NSD) system for marking days where PK/K students do not come to school. It allows those days or half days to be marked on a monthly basis for each K or PK students. Other scripts such as Attendance report 4, report cards have yet to be updated to support this. I'll notify once this is ready also. -- Les

Discipline View - event edit added [2017-10-13]
I've added event editing. The student and action options will follow as required. Each discipline event is linked to separate student disc records and also separate action records as well. Thus editing and deleting is complex. -- Les
New Discipline System [2017-09-12]
The discipline system has been updated with the ability to attach multiple students to a single event and also add a variety of actions to each student for that event. You can add/delete both infraction events and actions taken using the configure button. Feedback welcome.
SDS Certificate Update [2017-09-08]
SDS connectivity is now back. I had to install new certificates for the www.k12.gov.sk.ca server access, since they apparently changed on Sept 1, without warning.
Sask Ed Course Codes - updated [2017-08-15]
All course codes, including title, start and end dates, have been updated in the reference table for all schools, from new Sask Ed data files for this year. This is a separate table from the courses offered in each school and contains all possible courses K-12 that can be offered.
New School Year Updates [2017-08-10]
The previous school year database has been added with a '1617' added to indicate the 2016-2017 school year when looking up attendance or marks from the last school year.
Before that databases only ended in the second part of the school year (ie. 2015-2016 school year is '2016').
The current database has had the yearly information removed (ie. attendance, marks, etc) in preparation for this school year.
